Confidentiality Statement

At Real Calm, your privacy and safety are taken seriously. We want you to feel confident about how your personal information is used and protected. 

1. How Your Information Is Used 

We only collect information that helps us support you safely and effectively. We use this information to understand your needs, plan treatment, ensure safety and communicate with other professionals when you request this. We will always explain how your information is used and answer any questions you have. 

2. Your Privacy and Your Voice 

Everything you share with your psychologist is treated with care, respect, and confidentiality. You have the right to talk openly in a safe and private space. We will only share information about you or your child when: 

  • You ask us to 

  • It helps us to support your care 

We will always explain why information may be shared and with whom, and obtain your consent first. You can withdraw your consent at any time. If doing so affects your care, we will talk this through with you.  

3. Limits to Confidentiality 

There are times when psychologists must share information to keep people safe. This happens only in the following situations:  

  • To a parent or legal guardian, where clinically appropriate and legally required 

  • When there is a serious or imminent risk of harm to you or someone else and sharing information is needed to reduce that risk 

  • A child is at risk of harm 

  • We are required to notify appropriate agencies under mandatory reporting laws 

  • Disclosure is necessary to prevent a serious crime 

If we ever need to share information to keep someone safe, we will talk to you about what is happening whenever it is possible and safe to do so.  

4. Supervision (Support for Your Psychologist) 

Psychologists regularly participate in professional clinical supervision to ensure we are providing the highest standard of care. During supervision, we may discuss your situation in a de-identified way - meaning we do not share your name or any details that could identify you. Supervisors are bound by the same confidentiality laws. 

5. Telehealth 

For telehealth sessions, we will check that you are in a private, safe space. You can ask to adjust camera use, pacing, or communication methods at any time. 

6. Use of Digital Tools & AI  

We may use secure digital or AI-assisted tools to support administrative processes and clinical documentation. Identifying information is minimized, and these tools never replace professional judgement. 

7. How Your Information Is Stored 

Your information is kept securely in line with legal and ethical standards. This includes encrypted systems, restricted staff access, and careful data protection. Only authorized Real Calm staff can access your information. 

8. Your Rights 

You have the right to: 

  • ask questions at any time 

  • understand how your information is used 

  • request access to your records 

  • request corrections to your information 

  • withdraw consent to share information 

  • express concerns about privacy or confidentiality 

We welcome your voice in this process. If something does not feel right, please tell us - we want you to feel safe, respected, and fully informed.
